Academic Transcripts

RIT maintains a single academic transcript reflecting all courses taken at RIT. The transcript is the University’s certified statement of your academic record.  All transcripts are provided on security sensitive paper (or secure PDF) that contains the RIT seal and the signature of the Registrar. All requests for transcripts must go through the Parchment Services using the appropriate link below. Requests made by paper, email, phone, or other methods outside of Parchment Services will not be processed.

Please note that if there are any documents that need to be attached to your transcript you must first email them to registrar@rit.edu with the following note: “These documents need to be attached to an official transcript”.  Once our office completes these documents you will be contacted with further instructions on how to request your transcript.

Electronic Transcripts

You may order an official, certified PDF of your transcript secured by a digital certificate, which is displayed at the top of the transcript along with a blue ribbon.  This is the fastest, most secure and environmentally friendly method to request your transcript.

  • Processing time: ~30 minutes (students who attended prior to 2000: 5-7 business days)
  • Electronic transcripts can be sent to any valid email address (employers, other schools, yourself, etc.) or through the Parchment exchange network.
  • After receipt of the email notification for electronic transcripts, the transcript must be retrieved within 14 days.
  • Cost: $5.25 each

Printed Transcripts

You may order an official paper copy of your transcript to be mailed to yourself or another recipient. Effective March of 2023, these transcripts are fulfilled by Parchment.

  • Processing time: 2-4 business days (students who attended prior to 2000: 5-7 business days)
  • Printed on Parchment security paper
  • All transcripts are sent First Class USPS
  • FedEx is available for an additional charge
  • RIT will not be responsible for undeliverable transcripts due to an inaccurate address.
  • Cost: $8.50 each ($11.40 if mailed internationally)

Unofficial Transcripts

Current students and recent alumni can review and print a copy of their unofficial transcript from the Student Information System (SIS) at no cost.

Privacy

Only students/former students/alumni may request copies of their transcript.

RIT complies with the Family Educational Rights and Privacy Act of 1974, which governs access and release of information from student educational records.  More information on Student Privacy.

Additional Information

  • Transcripts are not released for students or alumni with outstanding financial or student conduct obligations.
  • Transcripts will NOT be distributed by fax.
  • RIT does not provide copies of other institutions' transcripts. Transcripts from high schools or other colleges cannot be duplicated; you must contact them directly for official transcripts.

Associations

Students/former students/alumni who need to send their transcripts to one of the associations found here, can do so via the above method. These associations are all considered In-Network Recipients and have already established accounts with Parchment. Simply type in their abbreviation (AMCAS, AACN etc) in the search box when ordering, select the recipient and follow the process through to checkout. Often, these associations accept and prefer electronic transcripts which are a lower cost and quicker solution.

Diploma Replacement

All requests for replacement diplomas must go through the Parchment Services using the appropriate link below. Requests made by paper, email, phone, or other methods outside of Parchment Services will not be processed.

Enrollment Verifications

The Office of the Registrar is responsible for completing enrollment verifications each term. These can take a variety of forms, but generally are needed by students to support such things as financial aid scholarships and loans, student discounts, dental and health insurance, apartment rentals, and auto loans. The Office of the Registrar provides enrollment information to the National Student Clearinghouse who in turn provides most insurance companies and lenders enrollment information of RIT students.

If you have received special paperwork where the self-service enrollment verification is not adequate, please bring the required paperwork to the Registrar’s Office for processing. Alternatively, the student can email our office the requirements from their RIT email address. Processing time is within 2-business days.

Verifications of enrollment for matriculated and non-matriculated undergraduate and graduate students is based upon the following each term:


Undergraduate

  • Full-time - 12 or more units
  • Half-time - 6-11 units
  • Less 1/2 - 1-5 units
  • Exp Comp Dt - Expected Completion Date

Graduate

  • Full-time - 9 or more units
  • Half-time - 6-8 units
  • Less 1/2 - 1-5 Units
  • Exp Comp Dt - Expected Completion Date

Courses taken for an audit grade are not included when determining enrollment status.

RIT uses the National Student Clearinghouse (NSC) to provide enrollment information to various insurance companies, lenders, and other third party agencies. In most cases these agencies automatically receive enrollment information directly from the NSC based on data RIT provides. However, in some cases, you may need to provide proof of enrollment beyond what the NSC provides. In the past, students would need to come to the Registrar’s Office to obtain an enrollment verification, but now students have a new self-service option available. Please follow the 4 steps below to obtain your Enrollment Verification.

  1. Login using your RIT Computer Account
  2. Select either:
    • “Current Enrollment” for the current or upcoming term
    • “All Enrollment” for a list of all terms enrolled
  3. Select “Obtain an Enrollment Certificate”
  4. Print as many verifications as you wish and sent them to any agency seeking proof of enrollment.

Key points to remember:

Enrollment data is provided to the National Student Clearinghouse (NSC) for the current term after the end of add/drop period. Within 10 business days after this date, you will be able to access current enrollment data.

Apostille or Certificate of Authentication

What is an Apostille?

An apostille refers to the legalization of a document for international use. The apostille certifies the signature and the position of the official who has issued or certified a copy of a document. Students commonly need an apostille to authenticate their academic transcripts or diploma for use in a foreign country. Apostilles are only valid in countries that joined the 1961 Hague Convention.  HCCH | #12 - Status table

Effective June 2023, all Apostille requests will consist of documents being provided and notarized by the Office of the Registrar at RIT and returned to the requestor. The requestor will be responsible for outreaching to the appropriate government offices for the required signatures. Please follow the steps outlined below.

Step 1: Request document(s) from RIT Office of the Registrar

All apostille requests are handled through our Parchment storefront. When ordering an apostille, you must either attach a copy of your diploma or include a request for a transcript at time of order that you wish for us to notarize.

Photocopies of diplomas are preferred so that the original diploma does not get lost or damaged. If you are not in possession of or have a copy of your original diploma, you may purchase a replacement diplomahttps://www.rit.edu/registrar/official-documents#diploma-replacement

Upon submission the Office of the Registrar will complete the following:

  • Registrar will certify that the transcript(s) and/or diploma(s) are RIT business record(s); the Registrar’s certification will be notarized.
  • Mail the certified Documents to requestor at the address provided through the order.  This should be yourself and not the final destination.
  • PLEASE NOTE-THE OFFICE OF THE REGISTRAR DOES NOT ISSUE THE APOSTILLE.


Step 2: 
You will submit the documents to the Monroe County Clerk’s Office

After your documents have been notarized, the notary public signatures on your document are required to be authenticated by the Monroe County Clerk’s Office. There is a $3 fee per authentication. For example, if you request a transcript and a diploma, you will pay a $6 fee to the Monroe County Clerk’s Office. Upon completion, the Monroe County Clerk’s Office will return the document(s) to you.

If you live outside of New York State, you may wish to either work with a contact within Monroe County or utilize an agency for apostille services. While RIT does not have a recommendation for these services, many can be found within the Rochester area.


Step 3:  You will submit your documents to NYS Department of State

Send all documents you received back from the Monroe County Clerk, including the completed Apostille Authentication Request Form, to the NYS Department of State. Mailing address will vary depending on your payment type. Please review the NYS Department of State Authentication Request Form for the correct address. There is a $10 fee per document required by the NYS Department of State. For example, if you request a transcript and a diploma, you will pay a $20 fee payable to N.Y.S. Department of State.

How long does the process take?

Although processing times vary at different offices, it is estimated that this entire process will take 8 to 10 weeks to be completed.

Apostille Process - Summary

  1. Request submitted for apostille to the Office of the Registrar via Parchment including a photocopy of the diploma and/or request for transcript.
  2. RIT notarizes document(s) and mails them back to the requestor --End Processing for RIT--
  3. Requestor provides the document(s) to Monroe County Clerk’s Office (mail or in-person)
  4. Monroe County Clerk provides the processed document(s) to the requestor (mail or in-person)
  5. Requestor mails document(s) to the New York Department of State for final authentication
  6. New York Department of State returns documents with Apostille to the requestor
