What are the Oracle Financial Applications?

RIT utilizes the Oracle Financial applications for its purchasing, accounts payable, general ledger, and fixed asset activities. Employees may obtain access to the financial applications to enter purchasing requisitions and journal entries, view accounts payable and other transactions on line and print various reports.

In addition to the Financial applications, RIT utilizes the Oracle Human Resource and Payroll modules, as well as the Manager and Employee Self Service applications.

Why would I want (or need) to access Oracle?

The Oracle system gives you online access to your home page. Through your home page you can access the following Oracle features and functions:

  1. The Oracle Financial/Human Resource Applications (Purchasing Requisitions, Journal Entry, General Ledger, Fixed Assets), and Self–Serve responsibilities.
  2. Your personal payroll information through the RIT Employee Self–Serve responsibility.
  3. Your general preferences, (Password, Known As, E-Mail Notification options), Worklist, and Notification Rules through the RIT Workflow user responsibility.
How do I access Oracle?

Through the web at: http://www.rit.edu/myinfo. This URL will take you to Oracle's log in screen, where you will type your Oracle username and password.

If you will be accessing the Oracle Financial applications (Purchasing Requisitions, Journal Entry, General Ledger, and Fixed Assets) you first have to install the Jinititator. Click on any of the applications to start the download process. You will only need to download the JInitiator the first time that you access the Oracle Financial applications.

How do I obtain access to the Oracle Financial Applications?

If you have never had access to the Oracle Financial Applications, you must first attend an Oracle training class for the module that you wish to access. There are three workshops including Purchasing Requisitions, General Ledger Journal Entry Process and General Ledger Report and Inquiry. Workshop dates and registration information is located on the CPD web site: http://www.rit.edu/fa/cpd.

Once you have attended Oracle training, complete a General Ledger Security Access form located on the Controller's Office web site:http://www.rit.edu/fa/controller/forms.html and forward it to the Controller's Office for processing.

How do I know which Oracle training class should I attend?

Where can I find instructions on how to use the Self - Serve application?

At the moment we don't offer a training session to learn how to use the Self – Serve application but you can find instructions on how to use the application in our web page. http://www.rit.edu/fa/controller/forms/HowToEmployeeSelfServeCard.pdf

Do I need to have access to Oracle to be able to approve Purchasing Requisitions?

No, you don't need to have access to Oracle to be able approve Purchasing Requisitions. You will receive an e-mail notification when there is a requisition awaiting your approval and you can approve it from the e-mail.

I attended Oracle training several years ago and my training manual is out of date. Where can obtain an updated version?

The training materials for each Oracle course is located on the Controller's Office web page at: http://www.rit.edu/fa/controller/oracle/ in a Microsoft Word format.

I attend Oracle training but I need help reading my department statement. Who should I call?

There are so many Oracle reports on the "list of values"; how do I know which reports are most useful?

I want to print my Oracle reports. Can I use any printer in my department?

In order to print Oracle reports, your printer must be connected to the RIT network and set up to print Oracle reports. See the Controller's Office web site for details:http://finweb.rit.edu/fa/controller/oracle/

Which reports can I print with my networked printer?

It takes me a lot of time each month to enter all of the information that's needed to request each of the Oracle reports for my department. Is there a quicker way to do this?

Yes, you may set up a "request set" that will allow you to run all of your reports at one time. Instructions about how to set up a request set are available on the Controller's Office web site:http://www.rit.edu/fa/controller/files/docs/HowToCreateaRequestSet.pdf. I have questions about the RIT general ledger account numbers. Where can I find information about what the various segments mean, etc?

Chart of Account information is located on the Controller's Office web site at:http://www.rit.edu/fa/controller/accounting/accounts.html. This site contains information about what each segment means and what it is used for. In addition, you may inquire about the name of a specific segment number or look for a segment number by entering a description. If you have questions about an account number, or if you need to have a combination set up in the general ledger, contact Customer Support at ext. 475-2237.

Who should I call if I have a problem accessing the Oracle applications?
  • I forgot my Password...
    Call the ITS Help Desk at ext. 475-HELP. You will be asked to provide your employee number (it's available on your pay stub). If you visit the Help Desk in the Gannett Building (7B), room 1113, you will be asked to show your RIT Employee ID.
  • I don't know my User Name...
    Call the ITS Help Desk at ext. 475-HELP. You will be asked to provide your employee number (it's available on your pay stub). If you visit the Help Desk in the Gannett Building (7B), room 1113, you will be asked to show your RIT Employee ID.
  • I received a "Your login is invalid" message...
    Restart your browser and sign on again. If you continue to receive this message contact the ITS Help Desk and ask them to check your User Name to make sure it is still active. If your User Name is active, ask the Help Desk to reset your Password.
  • I received an "expired password" message...
    A new screen will appear where you will be asked to change your password. Enter your old password in the first field and then select a new password and enter it in the next two fields. To save your changes click on the "Save" button and you will be taken to your home page.
  • I received an Invalid User Name message...
    Call or stop by the ITS Help Desk to verify your Oracle User Name.
  • I am unable to log-in to my home page...
    If you are having a problem that is not related to your Oracle User Name or Password, please contact the Customer Support Team at ext. 475-2237. 
    For Oracle User Name or Password issues contact the ITS Help Desk for assistance. Call ext. 475-HELP or visit the ITS Help Desk in the Gannett Building (7B), room 1113.

    Restart your browser and sign on again. If you continue to receive this message contact the ITS Help Desk and ask them to reset your password.
