Add groups to Apple Address Book

Apple Address Book is usually found in the Dock at system startup in Mac OS X. However, if it is not located there, it can be found in the "Applications" folder. It's icon looks like this:

AddressBookAddContact1

Launch Address Book by clicking on its icon in the Dock or by launching directly from the Applications Folder in the Finder. Upon launching the following screen will appear.

AddressBookAddContact2

Notice that the window resembles the window in iTunes. Think of the Address Book as the iTunes for Contact information. All contact information can be managed in this one application.

Adding a Group to Apple Address Book can be done in one of two ways. The first way is to select "New Group" from the File Menu.

AddressBookAddGroup1

The second way is to click on the small "Add" button on the bottom of the Group column, which is the leftmost column of the Address Book window.

AddressBookAddGroup2

A new group will appear and its name will be highlighted. Enter a name for the new group. We selected ITS CSS. Press the "Return" key to accept the name whch has been entered.

AddressBookAddGroup3

Access your general contact list titled "All." It can be found in the Group column of the Address Book window. Your contacts will appear in the Name column. Select the names of the individuals you would like to include in the group you just created. (Note: a range of names can be selected by clicking the first name in a range and then clicking the last name while holding the shift key, or individual names may be selected by holding the Command (Apple) key while selecting the individual names.) Click and drag the selected names to the group you just created. Note that the arrow icon changes to represent the number of contacts you are dragging to the new group. Release the mouse button. This creates a reference to those names that were selected.

AddressBookAddGroup4

It is important to note that no duplication was made in this process. A name that is added to a group from your contact list is a reference to the original record in your "All" list within the Address Book application. Therefore, any changes that are made to the original are also reflected within the group and vice-versa.

Additionally, it is possible to add individuals within the group by using the process outlined in the Article "Adding people to Apple X Address Book", but those individuals are automatically added to the "All" group upon creation within any other group in the Address Book. However, any individual erased from within a group, other than the "All" group remains in the general "All" list until it is removed.
