Delegate access in Microsoft Entourage 2004
When you set up delegate access in Microsoft Entourage 2004, you will have access to the principal account's mailbox, including the Inbox, Calendar, and Contacts. As long as the principal has granted you access to each folders, you will be able to:
- Mail: read and send mail as the principal
- Calendar: add, edit, or delete calendar events as the principal
- Contacts: add, edit, or delete contacts, or use them when sending messages or event invitations.
Delegate permissions
The person who is granting you access to his or her Exhange mailbox is the principal; you are the delegate when you are given that access. You must set up the access permissions for delegation in the principal's account. This currently requires a Microsoft Windows computer running Microsoft Outlook, or Microsoft Outlook 2001 in "Mac OS classic" (see Set up an Exchange account in Microsoft Outlook 2001):
- Set up delegate access in Microsoft Outlook 2001
- "Set up delegate access in Microsoft Outlook in Windows"
Entourage's display of delegate data
Mail from the principal's account will be displayed under the account's name in the Folder List pane in the main Entourage window.
Information from the principal's mailbox will be stored in your own Entourage calendar and address book, but will be marked with a new category. You can use this category to color-code and/or filter the data you see in Entourage. The color of the new category is automatically assigned initially (but you can change it, if you'd like) and the name is based on the identity of the principal's account.
To add new calendar or contacts to the principal's account, mark those items with this category. Events or contacts associated with the principal's category will be synchronized to the principal's account mailbox.
Set up delegate access
Follow our instructions on how to Set up delegate access in Microsoft Entourage 2004.
Avoid multiple accounts
You may be tempted to add multiple Exchange accounts to Microsoft Entourage instead of using delegation. However, we strongly recommend against this, no matter what the circumstances. Multiple Exchange accounts merge data in Microsoft Entourage, at least through Entourage 2004 -- and this can be a serious problem. You may come across this problem if you attempt to use multiple Exchange accounts in the following circumstances:
- You are faculty or staff and also have access to a departmental or course account
- You are a student and also have a student employee account with your on-campus employer.
Instead of adding multiple accounts to Entourage v.X or 2004, you should set up and use delegate access or contact us for other workarounds.
