Setting Up Exchange Mail for Outlook 98

    Before You Start

    • You must have an RIT Exchange account before you can use Exchange. RIT is migrating departments to Exchange on a specific schedule, To find out more about the E-mail Replacement project go to http://www.rit.edu/its/services/email/project.html. Until you have been migrated, you should continue to use your current mail settings.

    • You will need the Outlook 98 CD

    • MAPI connections are only available from off-campus when you are connected through VPN (link to VPN). You may also use Outlook Web Access (OWA) to access your e-mail from the internet or set up your client with an IMAP connection to access your email. If specific instructions for your client are not listed you may use the Quick Reference Guide for Exchange Mail:  http://www.rit.edu/its/services/email/setup/setup_exchange_quick_reference.html

    • Once you change the installation type you will no longer be able to access mail accounts outside of an Exchange environment.

    • Please update your office product at http://www.officeupdate.com/ProductUpdates/

    Change the Installation Type

    1. Click the ‘Start’ button, point to ‘Settings’ and click ‘Control Panel’
    2. Double-click ‘Add/Remove Programs’
    3. Click to select Microsoft Outlook 98, and then click ‘Add/Remove’
    4. Click ‘Add New Components’, and then click Install From CD or Install From Web, depending on how you originally installed Outlook
    5. Click ‘Yes’ to allow Active Setup to detect installed components
    6. Scroll down to Mail Components and click to select ‘Corporate’ service
    7. Click ‘Next’ to continue and finish the installation
    8. Click ‘OK’ to the warning message
    9. Restart Windows

    Install the Corporate LDAP Service

    1. Insert the Outlook 98 compact disc in the CD-ROM drive on your computer.
    2. Choose ‘browse this CD’ from the startup window
    3. Double-click the ‘Valupack’ folder and then double-click the ‘Corpldap’ folder
    4. Install the Corporate LDAP service by double-clicking ‘O98ldap.exe’
    5. Complete the installation by clicking ‘Yes’ to continue and clicking ‘Yes’ to accept the License Agreement and click ‘OK’ when the installation is complete
    6. Restart the computer.

    Setting up the Exchange Account Service

    1. Go to the Control Panel and double click the ‘mail’ icon
    2. Click the ‘Add’ button
    3. Choose ‘Microsoft Exchange Server’ from the list and click ‘OK’
    4. On the ‘general’ tab
      • Server = mapi-server.rit.edu
      • Mailbox = Your RIT account name
      • * If your computer is not joined to RIT's Active Directory environment please see the Additional Screen Shots below *
      • Click the ‘check name’ button, you will notice that the server name changes - this is normal
      • After the name has been found click ‘OK’
    5. Click the ‘Add’ button
    6. Choose ‘Outlook Address Book’ (if it’s not already listed) from the list and click ‘OK’
    7. On the ‘Delivery’ tab
      • Select your Exchange mailbox from the pull down menu and make sure it is not set to personal folders
    8. Click ‘Add’, select Microsoft LDAP Directory and then click ‘OK’
    9. Fill out the LDAP information as follows
      • Directory Service Account = RIT LDAP
      • Server Hostname = ldap.rit.edu
      • Server Port Number = 636
      • Search Timeout = 120 seconds
      • UserName="uid=username,ou=People,dc=rit,dc=edu" (without the quotes and with your actual RIT account name for username)
      • Password = the RIT account password
      • Search Base="ou=People,dc=rit,dc=edu"
    10. Click ‘OK’
    11. Click ‘OK’ again to return to the Control Panel
    12. Open Outlook and say ‘Yes’ to creating new shortcuts if you are prompted

    Setup the Address Book (if you have contacts on the Exchange server)

    1. Right click on the ‘Contacts’ folder under the Exchange account and choose properties (the Exchange account is the one that shows [Mailbox – Your Name])
    2. Click on the ‘Outlook Address Book’ tab
    3. Make sure that the check mark IS in front of ‘show this folder as an e-mail address book’
    4. Click ‘OK’
    5. Right click on the Contacts under Personal Folders and choose properties
    6. Click on the ‘Outlook Address Book’ tab
    7. Make sure that the check mark is NOT in front of ‘show this folder as an e-mail address book’
    8. Click ‘OK’
    9. Click on ‘Tools’ and then choose ‘Services’
    10. Click on the ‘Addressing’ tab
    11. Under ‘show this address list first’ choose the ‘contacts’ under the ‘Outlook Address Book’ entry
    12. Under ‘keep personal addresses in’ choose ‘Contacts’
    13. Under ‘when sending mail, check names using these address lists in the following order’ move ‘Contacts’ up to the top of the list, followed by RIT LDAP and then the GAL (Global Address List).
    14. Click ‘OK’
    15. Open the address book and verify that the contacts are showing

    If you are accessing more than one Exchange Account

    1. Open Outlook
    2. Click on ‘Tools’ and then ‘Options’
    3. Select the ‘Mail Services’ tab
    4. If you are going to access more than 1 Exchange e-mail account select ‘Prompt for profile to be used’
    5. Close Outlook
    6. Go to the Control Panel and double click the ‘mail’ icon
    7. Click ‘Show Profiles’
    8. Click the ‘Add’ button and setup the second profile for the other account; name it appropriately
    9. When you reopen Outlook you should be prompted for the account you would like to access

    • This is the dialog box you will see if your computer is
      not joined to RIT's Active Directory environment
    • Due to how Exchange performs authentication, if your
      computer is not joined to RIT's Active Directory environment
      you will be prompted for your credentials multiple times
      throughout a given session
