Request a Scan Repository Share

When requesting a share you must provide the following:

  • The hostname of the printer/scanner
  • The make and model of the printer/scanner
  • The usernames of the individuals who need access to the share

You can request a new, modify an existing, or remove a Scanning Repository by submitting a Fileshare Work Request, or by contacting ITS.


Scanning Repository is a special type of share designed for use with Multifunction Printers and scanners. This allows the device to scan directly to a special share that you can then get the files from. Access to this share can then be controlled. Generally, this is intended for large volume devices where "Scan to Email" may be prohibitive, or not optimal.

These shares are different from normal deparment shares. They are meant as a temporary holding location for files to be staged before being moved to a deparment share, or elsewhere. As such, they have the following restrictions:

  • All files older than 30 days will be deleted automatically from the share
  • You can only remove files from the share
  • The contents of these shares are not backed up

Pease keep in mind that these scan repositories are only temporary. Move these documents to a more permanent location, and delete them from the scan repository. The scan repository will automatically delete docuements 30 days or older.

What is required to use a Scan Repository?

The device must support "scan to https" or "scan to FTP" functionality. Additionally, it must work with/utilize the various technology implemented by RIT in order to make this possible. While ITS will make every effort to get this working for you with an existing device, you may need to purchase a new device in order for it to function as needed. ITS has tested all multifunction devices offered as part of the Xerox MPS Project, and certified all of them as working with this method.


Who can use a Scan Repository?

Currently any Staff, or Faculty Member with a multifunction printer can request a scan repository be created for their device. As long as the device is able to work per the requirements above, ITS will setup the device as needed.

 

 

Accessing a Scan Repository on Your Computer

 

Windows Computers

The scan repository can be accessed via the following method:

  1. On your PC, press "Start" and type \\main\scans into the "Start Search" box as shown below, and press "Enter."
  2. Within the resulting Window, select the scan repository for the printer you wish to access. All printer names should be displayed on the printer themselves. These names will also match the "print" names used to print.

 

Mac Computers

The Scan Repository can be accessed via the following method:

  1. On your Mac, from the top toolbar, select GO → Connect to Server.
  2. For the Server Address, type smb://main.ad.rit.edu/Scans and select "Connect."
  3. In the resulting window, select the scan repository for the printer you wish to access. All printer names should be displayed on the printer themselves. These names will also match the "print" names used to print.
