eClimateNotebook Relaunch

The Image Permanence Institute (IPI) launched an upgraded version of eClimateNotebook in February 2026.

Our focus for the new design was an improved user experience, and an upgraded infrastructure to support future features and new functionality. The new version includes enhanced data analysis tools, streamlined data management pages, responsive design, and improved educational resources. Enjoy this preview of the new eClimateNotebook. Serving small to large collecting institutions

This new pricing model is informed by market analysis that included a 2020 survey of eCNB users, and projections for annual maintenance, ongoing upgrades, and regular software development to add new features and functionality informed by IPI’s research program. An Enterprise subscription option has been created, with enhanced administration capabilities to improve data management across multiple sites or facilities within a single organization (see FAQs below for additional information). If you are new to eClimateNotebook, a 3-month free trial with the ability to evaluate 3 locations is also available to test the software.

Frequently Asked Questions

When will the new version go live?

The new version was launched on February 16, 2026.

Legacy eClimateNotebook was accessible from February 6th until the launch of the new version, but any changes made to accounts during that maintenance period - February 6th to launch - were not migrated into the new version. For instance, if you upload data on February 10th into the legacy software, you would need to reupload that data in the new version after launch. 

 

What will happen to existing subscriptions?

All existing, active eClimateNotebook (eCNB) accounts will be migrated and accessible in the new version as of the launch date. Existing expiration dates will remain in place, and the new pricing model will apply to all renewals that occur after the launch.

 

Is there any action needed to use the new version?

All users will have to reset their passwords to login to the new version. To reset your password, select the Forgot your Password? link on the Login to eClimateNotebook page. Enter your email address and select the Reset Your Password button. An email containing a password reset link will be sent to the address entered, if there is an eClimateNotebook user associated with that email. If you have forgotten your Username, please contact your subscription administrator.

Each user must be associated with a unique email address. If multiple users are associated with the same email address, the reset password process will only update the password for the user most recently logged into with that given email address. New users with unique emails will need to be created for the other users associated with the same email address. If necessary, please contact your subscription administrator to request a new user. New email, password, and user policies are being implemented to meet current login security standards. 

 

What will change with the transition of Professional Plus unlimited locations to new Level 4 limits?

Subscriptions with more than 150 locations in an account will have access to all legacy locations at the time of launch, but new locations cannot be added until the location limit for the subscription is increased by purchasing an Enterprise level subscription. Custom pricing for this subscription level is based on the number of locations required. Contact ipitechsupport@rit.edu to request a quote.

 

What will change for Free subscriptions?

Existing Free accounts will expire 3 months after the launch date. eCNB will no longer support free accounts with no expiration date. Instead, a three-month free trial option will be available. After the three-month trial period, a paid subscription is required to use the software. When any subscription expires, users associated with the expired subscription will be unable to login to eClimateNotebook until the subscription is renewed.

 

What is new?

The new version of eClimateNotebook includes an enhanced data uploader, streamlined data management pages, responsive/mobile friendly design, and improved education resources. Each subscription level will have access to all the data analysis, data manager, and reporting features and functionality of the software. The redesigned data uploader expands eClimateNotebook’s compatibility with a variety of dataloggers.

Three user roles still exist, but the Access Type titles have been updated: Admin remains Admin, Normal to Data Manager, Read-Only to Data Analyst. Admins manage subscription information, manage users, and have access to all functionality. Data Managers can create, upload to, edit, and delete locations. Data Analysts can view and analyze data but cannot create, upload to, edit, or delete locations.

Legacy time zones, such as US/Eastern, have been converted to IANA time zones, such as America/New York. Account Admins should confirm or update account time zones on the Subscription Information page.

 

Is outdoor weather information available in the new version?

Yes, outdoor weather information from stations across the US managed by the US National Oceanic and Atmospheric Administration (NOAA) is available. Weather Stations can be added from the Data Manager > Weather Stations page and do not count towards location limits. All legacy Weather Station data was migrated, however some of those stations are no longer maintained by NOAA. If the weather data for a Weather Station in your account ends in May 2024, that station is no longer active. Please add a new Weather Station near your location for outdoor data. If there are no NOAA stations near your location, an alternative option is to install a logger designed for outdoor monitoring to the exterior of your institution's building in a sheltered location.

 

Will IPI continue to recalibrate and repair PEM2s?

IPI continues to provide recalibration and repair services for PEM2 dataloggers. Read additional information about PEM2 support and troubleshooting.

For customers with PEM2 dataloggers, please note that the webpage for PEM2 command file generation has been sunset (phased out). Starting February 17 2026, customers can reach out to the IPI PEM Services team, at ipitechsupport@rit.edu, to request command files (e.g., timestamp updates, datalogger display & recording, reading data, clearing data, etc.).

 

Will the new eClimateNotebook work with wireless dataloggers?

A new uploader enhances eClimateNotebook's compatibility with a wide range of dataloggers. In general, eClimateNotebook works with any datalogger - manual or wireless - that can export data as a .CSV file with columns for date/time, temperature, and relative humidity. eCNB can ingest a range of .CSV files from different logger manufacturers and continues to ingest PEM2 files. IPI has a partnership with Onset, maker of HOBO dataloggers, that allows eClimateNotebook subscribers to save 5% off the price of HOBO monitoring products that are eClimateNotebook compatible. Datalogger options include manual or wireless .CSV file exports that can then be uploaded to eClimateNotebook. Visit the HOBO/eCNB compatible equipment page for more information. What is multi-account/organization-wide administration?

The new Enterprise subscription level allows an organization to have multiple accounts within a single subscription. Organization administrators are able to access all of the accounts within an Enterprise subscription, while data managers and data analysts are assigned access to one or more account(s).

For example, the Rochester Institute of Technology (RIT) may want an Enterprise subscription to consolidate collections environmental monitoring across campus into one eClimateNotebook subscription. Within an Enterprise subscription multiple accounts can be created. For instance, the ideal RIT subscription might include 3 accounts to monitor: 1) the University Library, 2) the University Gallery, 3) the University Archive. Subscription administrators can access all three accounts and assign access for data managers and data analysts. A data manager may only be able to access the University Library account, or perhaps has access to both the University Library and University Archive, but no access to the University Gallery account. Access levels and accounts are determined by the subscription administrators.

The minimum cost of an Enterprise subscription is $2,000 to monitor up to 150 locations (across all accounts, not per account). For subscriptions requiring more than 150 locations pricing is based on the number of locations needed. Contact us at ipitechsupport@rit.edu to request a custom quote.

 

Can IPI assist with data analysis and interpretation?

Technical support for using eClimateNotebook is free for all subscribers. If your environmental management team needs assistance analyzing the temperature and relative humidity data uploaded, or interpreting the preservation quality and potential environmental risks of a collection space, IPI staff can assist through our data analysis consulting services.
