Reservation Requests

Recreation Reservations: 50 minutes Accordion

  • Space that can be reserved for 50 minutes include: indoor tennis courts, racquetball courts, squash court, and boxing room.
  • Racquetball courts are considered multi-purpose and may be used for a variety of recreational activities. Maximum occupancy per court is 16. Full contact activities are prohibited. Wallyball nets can only be set-up on racquetball courts 4, 5, and 6.
  • Reservations may be reserved no more than seven days in advance and must be made through RIT Events.
  • When submitting a request, please enter the name of the activity being played in the Event Title.
  • Reservations of this type are automatically approved.
  • Only one reservation per day, per group is permitted.

Recreation Reservations: 120 minutes Accordion

  • Activities that can be reserved up to 120 minutes include badminton, basketball, cricket, dance, dodgeball, flag football, Frisbee, kickball, soccer, softball and volleyball.
  • Requests should be submitted via RIT Events.
  • Groups of 10 or more people are required in order for a reservation to be valid.
  • The majority of participants must have a current RIT membership.
  • Reservations must be made by 3:00pm one calendar day in advance and are accepted no more than seven days in advance.
  • Requests will be reviewed within 24 hours for approval.
  • Requests are not confirmed until final approval has been received via email.
  • Only two reservations per person/group are permitted within a seven day range.
  • If you are representing a student organization, please be sure to use the Student Organization Event/Meeting template when requesting any recreational space.

Photo and Video Requests Accordion

Photos and video are prohibited within the RIT facilities without prior approval. These types of requests should be made seven days in advance. Visit reserve.rit.edu for space availability and submit your request. If you need more than a two-hour time block, please contact the SLC Main Office.

You will be required to answer the following questions when submitting your request online or by email:

  1. Is this a photo or video shoot?
  2. Have you investigated other locations prior to requesting space in the recreation facilities?
  3. Are you a photo major or affiliated with the photography department?
  4. What is the purpose of the photo/video shoot?
  5. What activity will be taking place?
  6. How will the photos or footage be used?
  7. Will it be shared?
    • If yes, how?
  8. How many participants will there be?
    • # of models/actors
    • # of photographers/videographers
  9. What will the models/actors be wearing?
  10. Are all participants RIT students?
    • If no, please provide the names of non-RIT participants.
  11. Are you using a photo/video release form for your participants to sign?
  12. What type of photo/video equipment will be used?
  13. Will you be using any props?
  14. Will food be served?

Photo and Video Requests (Aquatic Center) Accordion

Photos and video are prohibited within the Aquatic Center without prior approval. These types of requests must be made at least one week in advance.

Please contact the Aquatics Manager to submit your request and provide answers to the below questions.

  1. What is the purpose of the photo/video shoot?
  2. How will the photos or footage be used?
  3. How many participants will there be?
    • Models:
    • Photographers:
  4. Are all participants RIT students?
  5. Are you using a photo/video release form for your participants to sign?
  6. What activities will take place?
  7. What bodies of water will be used?
  8. If deep water is used, a swim test must be completed.
  9. How long do you think you will need to complete the shoot?

Once the above questions have been answered, the Aquatics Manager will work with you to determine the best time to schedule your request. It may be scheduled during “Open Swim”, when the pool is shared by others, or during a private reservation. Private reservations require a minimum of two lifeguards per hour and staffing fees apply.

Special Event Requests Accordion

A request is considered a special event if one or more of the following conditions apply:

  • You are requesting more than 120 minutes for your activity (including set-up/tear-down time).
  • You are requesting more than one facility or space.
  • You are requesting multiple days and/or times.
  • Food will be served.
  • Support services may be needed (Tech Crew, tables/chairs, grill, trash cans, custodial).
  • An admission fee may be charged for participants and/or spectators.
  • Non-RIT participants may be attending.
  • Potential risks may be associated with your activity/event.

Internal Event Requests

  • In order to submit an internal event request, you must be a representative of an RIT student organization or RIT department.
  • To request space for the Gordon Field House & Activities Center, Hale-Andrews Student Life Center, George H. Clark Gymnasium, or Outdoor Fields, please visit RIT Events.
  • If you are representing a student organization, please be sure to use the Student Organization Event/Meeting template when requesting any recreational space.

External Event Requests

  • Externals are defined as non-RIT groups and organizations. This includes RIT community members requesting facility space on behalf of a non-RIT group or organization.
  • To request space for the Hale-Andrews Student Life Center or Outdoor Fields complete this form.
  • To request space for the Gordon Field House & Activities Center or the Frank Ritter Ice Arena, visit the University Arenas website.
