Tenure and Promotion Process Deadlines


Deans conduct election of college tenure committee members and Faculty/Academic Senate from tenure committees by 3/1 with first meeting to be held no later than 9/15

DEPARTMENT HEADS/CHAIRS/DIRECTORS’ written assessment of the candidate’s progress toward tenure shall be forwarded to the college tenure committee, according to the college schedule that ensures the tenure committee can complete their review and submit their recommendation to the college dean no later than 1/15

CANDIDATE DOCUMENTATION due to college tenure committee (or as specified in college guidelines) and initial committee meeting held no later than 9/15

TENURE COMMITTEES - Solicit external and internal letters of recommendation.  By 1/15, the tenure committee submits documentation and recommendation for or against tenure and promotion for each candidate to the dean.

DEANS - letter of recommendation for or against tenure and promotion and all documentation to provost by 2/08

PROVOST - sends letters to candidates advising of action no later than 4/15

Nomination for Promotion:

Policy E06.II.D.I and E06.II.D.II:  

Nomination:

  1. By May 1 of the academic year immediately prior to the academic year in which the candidate for promotion will undergo consideration for promotion, nominations for promotion will be received by the department head.
  2. Acknowledgement: By May 15 of the academic year immediately prior to the academic year in which the candidate for promotion will undergo consideration for promotion, he or she will receive a written acknowledgement of the initiation of the promotion process and a request of materials by the department head. The department head will also inform the dean of the college about the nomination.

Policy E06.IV.B Nomination for Promotion

  1. A candidate may be nominated for promotion in any one of the following ways:
    1. The department head shall evaluate the rank status of each faculty member at least every two years at the time of annual review and may nominate a candidate for promotion.
    2. A Professor eligible to serve on the promotion committee (see E6.II.B) may nominate a candidate for promotion. 
    3. A tenured faculty member may nominate him/herself for promotion.
  2. The department head shall notify the faculty member in writing of his or her nomination for promotion or of the receipt of the self-nomination.

Department heads/chairs/directors - acknowledge nominations for promotion by 5/15

Promotion committee(s) - is formed and documentation received from candidates by 9/15 per E6.0.II.D.3.

Promotion candidate(s) - submits the required documentation to the appropriate promotion committee chair for review by 9/15.

External letters and recommendations - must be requested by the promotion committee by 9/30 per E6.IV.C.2.

Committee review - January 1-February 1.  Committee's letter of recommendation, a tally of votes of the committee members, and the candidate's documentation are submitted to DEAN by 2/1.

Deans - submit letters of recommendation for or against promotion and all documentation to Provost by 3/1.

Provost - sends letters to candidates advising action by 5/1

 *For promotion to principal lecturer:  letters for or against promotion from the candidate's department head, tenured faculty and principal lecturers within the candidate's department.  See E6.0.II.D.5.b
*For promotion to associate research or research professor: letters of recommendation for or against promotion from the candidate’s department head, and from the tenured faculty members and non-tenure-track research faculty senior in rank from within the candidate’s department. See E6.0.II.D.5.c.

    3. A faculty member may nominate him/her-self for promotion.

Nominations for promotion of a candidate to a higher rank of research faculty may be initiated by the department head, tenured faculty, non-tenure-track research faculty member senior to the candidate’s present rank, or by the candidate.  

After appropriate consultation with and endorsement of the faculty of the relevant department or program, the department head will recommend the applicant to the college dean. 

The dean forwards the department’s recommendation to the provost for approval.

Policy E05.B.2

Candidates - provide documentation as specified in the college tenure policy to college tenure committee by a date set by the college tenure committee

Department head - shall provide a written assessment of the candidate's appropriate progress towards tenure from the perspective of colleague, supervisor, and administrator based upon the candidate's documentation.

Tenure committee - shall seek letters from department tenured faculty that contain comments that can be substantiated regarding whether or not the candidate is making satisfactory progress toward tenure.

Tenure committee - submits an analysis of the candidate's strengths and weaknesses and whether current performance would lead to a recommendation for tenure under current guidelines and offering guidance for continued improvement and all documentation to the dean by a date set by the college tenure policy

Dean - the dean submits letter of recommendation with all letters of review and documentation to the provost by 4/1

Provost - The provost reviews all letters of review and documentation and sends comments on candidate's progress toward tenure to the dean

The dean and the candidate's department head discusses the provost's comments with the candidate by May 15
