Campus Life organizes major festivals and supports student organization events, fostering campus spirit and connections. The Events Team provides resources and expertise, including event planning guidance, organization, and logistical support, to ensure the success and impact of student-focused events. These activities significantly enhance the overall college experience, creating lasting memories and helping students develop essential life skills and build valuable networks.
Student Club and Organization Events
One of the most exciting aspects of being part of a student club or organization is creating events and activities for your club, organization, or the campus community. Events and programming support and enhance RIT's mission and goals by expanding student engagement, increasing RIT spirit, and fostering a sense of campus community. The Center for Campus Life is here to assist and support student club and organization leaders in hosting safe and successful student events.
How does RIT define a Student Club and Organization event?
A student club or organization event is any program or function planned, sponsored, or co-sponsored in the name of, under the auspices of, or for the sake of the recognized student club or organization. Any gathering of its members acting together may be considered a student club or organization event. Please refer to the Student Organization Event Policy & Procedures dropdown below for more information on the responsibilities associated with hosting events and activities.
A student club or organization event is one that utilizes any RIT resources. Resources can be defined as time, space, financial resources, technology, communications, or services. All student club and organization events must be registered through the RIT Student Clubs & Organizations event management process in EMS. This includes all events on and off campus.
Student Club and Organization event management
Student organization events are managed using the RIT Events system. The Center for Campus Life, in collaboration with numerous RIT departments, reviews and approves all student organization events and programs.
All Student Organization events must abide by RIT’s General University Policies and the Student Organization Event rules and regulations. Review more information and support elements in the sections below.
Access to the RIT Events system is restricted to designated officers of a recognized student club or organizations. To update your organization's officer access, please complete the RIT Events Student Organization Request Form.
All students who have access to the RIT Events system on behalf of their student club or organization are required to complete the EMS Certification. To request access to this certification, email studentevents@rit.edu. Any club member who was listed in their club or organization re-recognition process annually will be automatically added to the EMS Certification course.
All student organization events must abide by RIT’s General University Policies and event rules and regulations.
Please note that the Student Organization Events Manual is subject to change at the discretion of RIT leadership at any time. All major changes will be communicated in writing to the student organization.
To ensure student events are safe, well-organized, and meet university guidelines, some events may require additional review. In these cases, student clubs and organizations may be asked to complete supplemental forms. These forms are reviewed by Campus Life leadership and other RIT officials responsible for risk management, liability, and financial oversight of both on- and off-campus events. If your event requires one of these forms, you will receive a link from the Events Team through your EMS reservation. However, if you already know your event will need special approvals, you are encouraged to complete the forms in advance.
We know that organizing events—whether on or off campus—can feel overwhelming. That’s why we’re committed to making the process as smooth and straightforward as possible for your student club or organization. Our goal is to help you navigate the steps, get the necessary approvals, and host a successful and memorable event.

RIT-approved student clubs and organizations have multiple options to market their events on campus. Once your event is approved, you may submit to have your event on the RIT Events calendar and on RIT-owned digital displays. Once your event is on the RIT Events calendar, it will be included in numerous communications and social media content.
A contract or agreement must be used whenever your organization hires performers (such as musicians, speakers, DJs, or bands), service providers (such as catering, food trucks, or production companies), or facilities (such as banquet halls or hotels). Such arrangements are a legal obligation between the business or performer and RIT and require the creation and signing of an RIT contract. This is even applicable if they are performing for free.

From the kickoff with TigerFest, the seasonal excitement of FallFest, the chilly essence of FreezeFest, and the celebration of Springfest, students will experience entertainment, food, swag, and more. Frequently Asked Questions
Your event must be registered at least 4 business days in advance. However, it is advisable to register approximately 4 weeks prior to your event date to ensure confirmation of requested services. For large-scale events, we strongly recommend early registration.
When you register your event in the Event Management System (EMS), it initiates the process of reserving your space. If you need assistance with the reservation process, please visit our office, located in the Tiger Suite of the Campus Center, or contact the Student Events Team via email at studentevents@rit.edu.
EMS assists in coordinating events for all event managers, space owners, and service providers on campus. The Event Team informs necessary RIT administrators or service providers about the event and confirms that the requested services will be provided. This process also ensures that the event is safe and successful.
EMS can only take submissions from student organizations, not individuals. Individual students cannot register events unless there is a sponsoring organization or department supporting the event, and the student has access through their specific club or organization.
The space reservation and event registration process is now required to be completed online. You can register your event online 24/7, on reserve.rit.edu (EMS).
To have your event posted on the RIT Calendar, you should submit the Student Club and Organization RIT Events Calendar Form. Once your event is approved, it will populate on Campus Groups as an event page within 24 hours.
Facilities Management Services (FMS) has created diagrams for various rooms and spaces on campus for your use when planning events. These should be submitted to your event on reserve.rit.edu (EMS) when completed.
