Travel Insurance

RIT maintains a comprehensive insurance program to support employees traveling on approved University business, both domestically and internationally. This includes coverage for liability, medical emergencies, and travel-related incidents.

Auto Liability & Rental Vehicles

  • U.S. & Canada: Do not purchase additional auto liability or collision damage waiver (CDW) coverage. RIT maintains non-owned auto liability insurance and is self-insured for rental car damage.
  • Outside U.S. & Canada: Accept any CDW offered by the rental agency.
  • Personal Vehicles: Your personal auto insurance is primary when using your own vehicle for RIT business. You are responsible for any deductibles.

Note: CDW and personal accident insurance purchased from rental agencies are not reimbursable.

  • Review the Crisis24 Horizon Instructions prior to your trip and download the mobile app to access risk ratings, threat intelligence, location insights, and emergency features.

General Coverage

RIT employees are covered under the University’s group insurance policies for activities conducted within the scope of their job responsibilities while traveling off campus. This includes:

  • General Liability and Auto Liability (bodily injury or property damage to third parties)
  • Workers’ Compensation for work-related injury or illness
  • Travel Accident Insurance (accidental death & dismemberment)

If an incident occurs while traveling, report it to your manager and RIT’s Global Risk Management Services (GRMS) as soon as possible.

Injuries & Illness

Work-Related Incidents are covered under RIT’s Workers’ Compensation plan:

  • On-campus or local incidents: Coordinate through RIT Human Resources and the managed care program.
  • Out-of-area or international incidents: Seek immediate care and report to HR as soon as practical.

Non-Work-Related Illness While Traveling: Contact your personal health insurance provider to understand your coverage abroad.

Personal Property & Trip Cancellations

Lost or Damaged Personal Property: Not covered by RIT. File claims through your personal insurance.

Trip Cancellation Insurance: Not provided by RIT. Departments must absorb cancellation costs. Do not purchase trip cancellation insurance unless pre-approved by your department head.

PNC Corporate Travel Card Coverage

Refer to the VISA Commercial Card Benefits for insurance coverage details associated with your PNC Travel Card.

Special Circumstances

Contact GRMS for guidance in the following situations:

Confirm whether RIT-owned items are insured and if additional coverage is needed.

Students: Covered under RIT’s excess accident policy (up to $10,000 per accident). Primary insurance is billed first.

Non-RIT Individuals: Must rely on their own medical insurance. RIT does not provide coverage.

Your travel accident insurance beneficiary is the same as your RIT Group Life Insurance beneficiary. To designate a different beneficiary, contact GRMS at 585-475-6131.

Travel Assistance Program

RIT employees, officers, and trustees are covered under a Travel Assistance Program when traveling more than 100 miles from home. Services include:

  • Emergency medical assistance
  • Emergency personal services
  • Pre-trip information
