SUMMARY:

The Communications and Change Management Specialist reports to the Special Assistant to the Chief Operating Officer (COO) and is responsible for the development, implementation and assessment of internal communications plans as well as implementation of a change management methodology and all activities related to projects and other initiatives as assigned. This role supports the university’s strategic initiatives under which transformation of university-wide systems, business processes, and organizational structures is housed. This position supports the strategic move towards creating a unified identity and culture, standardized practices and improved collaboration across the university.

PRINCIPAL ACCOUNTABILITIES:

I. Applies a structured change methodology to project initiatives by working closely with project managers and executive sponsors to support communication efforts.

II. Conducts change impact assessments, stakeholder assessments, and supports training efforts.

III. Leads change activities such as: identifying and developing plans to engage key stakeholders, conducting change impact analyses with Subject Matter Experts and Project Managers, supporting the communications process for stakeholder groups across business units, assessing change readiness and providing input to project teams.

IV. Supports change management at the project level as assigned.

V. Conducts knowledge transfer sessions with project team leaders, team members and other University stakeholders as necessary.

VI. Works closely with University Communications on the following tasks:

a. To develop high-quality and impactful internal communications content, products and plans. (including, editorial, web communications, creative services, multimedia, social media and media relations).

b. To ensure and provide updated communication content for university websites, e-publications and mass emails to internal stakeholders.

VII. Develops, implements and assesses internal communications plans to communicate to appropriate stakeholders for related strategic initiatives as assigned; develops key messages, identifies primary and secondary audiences, proposes appropriate communications channels and tactics, identifies audience segmentation and develops synchronized timelines; and identifies measures of effectiveness and/or performance when feasible.

VIII. Establishes and maintains a positive and supportive working relationship with co-workers and supervisor.

IX. Shows a genuine commitment to diversity, equity and inclusion in the workplace; and participates in activities and workshops to foster continuous learning.

X. Serves as a mandatory reporter under Title IX and commits to completing Title IX training and compliance requirements on an annual basis.

XI. Performs other duties as assigned.

Required Minimum Qualifications (When the candidate’s resume meets these qualifications, it will be screened in.)

Bachelor’s degree.
A minimum three years of professional experience in executive, strategic or internal communications, supported by a portfolio of writing samples; or supporting organizational change management efforts or the equivalent.
Experience with developing executive communications.
Experience with organizational change management.
Fluency in American Sign Language.

Preferred Qualifications (While not required, it is an advantage for what the position needs.)

Advanced degree, preferably in communications, public relations, marketing, public administration, change management or related field, or related equivalent work experience.
Experience with developing and/or managing internal communications plans, strategies and assessment methodologies and technologies.
Experience in developing presentations and presenting to diverse audiences and teams.
Experience with web content strategy.
Experience in communications or marketing with higher education or other large matrixed organizations.
Experience with project management of communications plans.
