Job Description

Reporting to the Chief Operations Officer (COO), the Executive Assistant provides high level and administrative assistance to the COO and the COO team; manages and coordinates interpreters requests with the COO team; supports communication and electronic publication efforts for the division; coordinates major events for the division; manages a variety of special projects for the division; serves as the division representative on various committees; researches information as needed for letters and reports; provides support and coordinates with the leaders in the division on a variety of matters and initiatives; manages the Office of the COO; and collects and prepares materials for Board of Trustees meetings.

PRINCIPAL ACCOUNTABILITIES:

I. Provides high level assistance to the COO and team in program planning and development, project and resource management, and policy development and implementation
II. Manages the Chief Operating Officer (COO)’s schedule, including prioritizing work, evaluating requests for COO’s time, coordinating, and arranging meetings and travel; organizes various filing systems and provides customer service.
III. Monitors the COO office expenditures to ensure accuracy and follow up on discrepancies. IV. Manages and coordinates interpreters’ requests with the COO Team.
V. Collaborates with the various divisions to execute various actions.
VI. Supports in coordinating major events for the division, as requested.
VII. Researches information for the COO and its team as needed for letters and reports; and draft
letters and reports as requested.
VIII. Supports a variety of special projects for the COO Team; and coordinates the team’s response to various COO initiatives.
IX. Manages the maintenance and improvement of the University’s Administration and Operations (A&O) Manual; supports and authors new and revised policies; provides for a timely review by members of the campus community, administration, and Board of Trustees.
X. Collects and prepares materials for the Board of Trustees and/or other significant meetings; and takes minutes as requested.
XI. Provides general administrative support for the COO Office, requiring a thorough knowledge of the department processes, policies, and procedures.
XII. Shows a genuine commitment to diversity, equity, and inclusion in the workplace; and participates in activities and workshops to foster continuous learning.
XIII. Serves as a mandatory Title IX reporter; and takes annual Title IX training as part of the compliance effort.
XIV. Establishes and maintains a positive and supportive working relationship with co-workers and supervisors.
XV. Performs other related duties as assigned.

Requirements

SPECIFICATIONS:

Required Minimum Qualifications (When the candidate’s resume meets these qualifications, it will be screened in.):

● Bachelor’s degree.
● A minimum of three years of professional experience in program coordination and high-level
office administration.
● Fluency in American Sign Language.
Preferred Qualifications (While not required, it is an advantage for what the position needs.): ● Experience working in a higher education institution.
● Experience working with the Board.

● Strong ability to work in a fast-paced environment.
● Excellent organizational, interpersonal, and writing skills.

Other Important Information:
